- Account/clinic details (clinic name, location, service and policy settings)
- Messages & chat content sent through Tina (e.g., FAQs, hours, directions, booking preferences)
- Booking details (date/time, service type, location, provider preferences)
- Support inquiries and any information you include
Note on health info: Please don’t share medical history, diagnoses, or other PHI via chat/SMS. Clinics are responsible for instructing their clients not to send PHI through Tina.
B. Collected automatically
- Device & usage data (IP address, browser type, pages viewed, timestamps)
- Cookies/SDKs for site functionality, analytics, and remembering preferences
C. From third parties (as directed by a clinic)
- Booking & payments (e.g., Calendly/Boulevard/Mangomint; Stripe/Square payment status—not full card numbers)
- Communication providers (e.g., messaging delivery status from carriers)
How we use information
- Provide and improve Tina (chat, texting, missed-call responder, retention reminders, and dashboards)
- Scheduling assistance (share booking links, hold times, send reminders)
- Client communications (service info, directions, rescheduling, policy reminders; STOP/START honored)
- Analytics & reporting (e.g., recovery %, recovered revenue from completed appointments, first-response time, chat→booking rate)
- Security, fraud, and abuse prevention
- Legal compliance and enforcing our terms
We do not sell personal information. We do not use customer content to train public models. If we use anonymized/aggregated data to improve Tina, it cannot reasonably identify an individual.
Text messaging (SMS/MMS)
By providing a phone number or texting with a clinic using Tina, you agree to receive messages related to scheduling, reminders, directions, and clinic policies. Message frequency varies. Message and data rates may apply.

- Carriers are not liable for delayed or undelivered messages.
Clinics should maintain records of consent where required (e.g., TCPA).
Payments & deposits (“hold credits”)
When enabled by a clinic, Tina may link to third-party payment processors (e.g., Stripe/Square) to capture a hold credit or card on file. We do not store full card numbers on our servers. Payment data is handled by the processor under its own security and privacy policies.
Cookies & similar technologies
We use:
- Essential cookies for site functionality and security
- Analytics cookies to understand usage and improve Tina
- Preference cookies to remember settings
You can control cookies via your browser settings. Blocking some cookies may impact site performance.
How we share information
We share personal information only as needed to run Tina or when required by law:
- Service providers / processors (hosting, analytics, messaging, payments, automation/orchestration) under contracts that restrict use to our instructions
- Clinics (for their own end-user/client messages, booking, and follow-up)
- Legal/Compliance (to comply with laws, respond to lawful requests, protect rights/safety)
- Business transfers (merger, acquisition, or asset sale; the Policy continues to protect your info or you’ll be notified of changes)
- Aggregated data that does not identify individuals
We do not sell personal information.
HIPAA & health information
Tina is not intended to collect or store PHI. Clinics are responsible for configuring Tina, setting policy copy, and instructing clients not to send health information via SMS/chat. If your clinic requires stricter controls (e.g., BAAs, limited retention), contact us at [privacy@trytina.com] to discuss options. Tina provides general info and logistics—not medical advice or triage. Do not use for emergencies.
Data retention
We retain personal information only as long as needed to provide Tina, comply with legal obligations, resolve disputes, and enforce agreements. Clinics may request deletion of end-user message history consistent with applicable law and our technical limits.
Security
We use reasonable administrative, technical, and physical safeguards (encryption in transit, access controls, least-privilege, logging). No system is 100% secure. If we learn of a security incident affecting your data, we’ll notify you as required by law.
International transfers
If data is transferred across borders, we rely on appropriate safeguards (e.g., Standard Contractual Clauses) and take steps to protect your information consistent with this Policy.
Your privacy choices & rights
Depending on your location, you may have rights to access, correct, delete, port, or restrict processing of your personal information, and to opt out of marketing.

State & regional notices
California (CPRA): We disclose the categories of information described above for the business purposes listed. We do not sell personal information. We do not “share” personal information for cross-context behavioral advertising except through standard analytics; you may manage cookies to limit this. You have the rights to know, delete, correct, and limit use of sensitive data where applicable. Submit requests at [privacy@trytina.com].
EU/UK (GDPR): Legal bases include contract (to provide Tina), legitimate interests (improve/security), consent (marketing/SMS where required), and legal obligation. Data subjects can exercise GDPR rights by emailing [privacy@trytina.com]. Our role varies: controller for our site/marketing; processor for clinic end-user data.
Children’s privacy
Tina is not directed to children under 13 (or under the minimum age in your jurisdiction). Do not use Tina to communicate with or collect data from children. If we learn we’ve collected such data, we’ll delete it.
Do Not Track
Browsers may send “Do Not Track” signals. We currently do not respond to DNT signals. You can control cookies via your browser.
Changes to this Policy
We may update this Policy from time to time. We’ll post the new version here and update the “Effective date.” If changes are material, we’ll provide additional notice (e.g., email or banner).
